You give us, or we generate, the following information:

• Account and contact details — name, email address, phone number, company name, and mailing address.
• Membership records — your suite assignment, start date, monthly rate, signed membership agreement, electronic signature record, and door codes issued to you.
• Booking information — conference room dates and times, guest names you provide, and booking notes.
• Payment information — billing records, invoices, refunds, and payment method type. Card numbers are collected and stored by our payment processor, not by us.
• Content you upload — company logo and business name for our member directory and carousel.
• Technical information — IP address, device and browser type, pages viewed, and similar log data collected automatically when you use this website.

2. How we use it

• To provide and administer your membership, office license, and bookings.
• To take payments, issue invoices and refunds, and collect amounts owed.
• To issue and manage building and office access codes and keep the premises secure.
• To respond to inquiries and provide support.
• To send service messages such as booking confirmations and refund notices.
• To operate, secure, and improve this website.
• To meet our legal, tax, accounting, and insurance obligations.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

3. Who we share it with

We share personal information only as needed with service providers who process it on our behalf under contract, including our payment processor (Stripe), our hosting and database provider, and our email delivery provider. We may also disclose information to our professional advisers and insurers, to the building owner or manager where required for access and safety, and to law enforcement or other authorities where required by law or to protect our rights, our members, or the premises. If our business is sold or reorganized, member records may transfer as part of that transaction.

4. Other members

Your company name and logo appear in our member directory and on the “Our Members” section of our website if you upload them. You can remove them at any time from your dashboard. Guest names you enter for a booking are visible to our staff.

5. Cookies

We use cookies and similar technologies as described in our Cookie Policy.

6. How long we keep it

We keep membership agreements, payment records, and related correspondence for as long as you are a member and afterwards for the period required by Florida law and our tax, accounting, and insurance obligations — generally at least seven years. Marketing contact details are kept until you ask us to stop. Website logs are kept for a short period.

7. Security

We use access controls, encryption in transit, restricted staff permissions, and private storage for signed agreements to protect personal information. No system is completely secure, so we cannot guarantee absolute security. Please tell us immediately if you suspect your account has been compromised.

8. Your choices and rights

You may ask us to access, correct, or delete the personal information we hold about you, and you may unsubscribe from marketing email at any time. Where a legal or contractual obligation requires us to keep certain records, we will tell you. To make a request, email help@officevero.com. We will verify your identity before acting on a request and will respond within the time required by applicable law. If you live in a state or country with additional privacy rights, we will honor those rights where they apply to you.

9. Children

This website and our services are for adults. We do not knowingly collect personal information from anyone under 16.

10. Location of processing

We operate in the United States and our service providers may process information in the United States. If you contact us from outside the United States, you understand your information will be processed here.

11. Changes to this policy

We may update this policy. The current version is always posted on this page with its effective date.
